Where to start with an ERP or business system

Scroll Down

The starting point for a business system is a real workflow. Before choosing modules, understand where work slows down, where information is copied and which decisions depend on reliable records.

Walk through one real transaction

Follow an order or request from its first entry to completion. Note every spreadsheet, message, approval and handoff involved. Speak with the people doing the work as well as those requesting the software.

Decide which records are authoritative

A customer or stock item may exist in several tools. Define the owner of each record and the rules for updates. Data quality and migration work can matter as much as the new interface.

Specify roles and exceptions

List who can view, create, approve and amend records. Include the cases where an order is cancelled, information is missing or a task needs to be reassigned.

Start with a complete, limited process

A useful first release should finish a job from beginning to end. Pilot it with the people who will use it and collect feedback before expanding to more departments or modules.

Plan operations before adoption

Agree on training, backups, exports and a support contact. Decide how the team will report an issue and how essential work continues if a service is temporarily unavailable.
